How to import bulk Maintenance Schedules

Prerequisite

Get Ready with the excel for your Maintenance schedule (one in a row). The same can be used for importing housekeeping schedules . Example as below…

Rules:

  • Only Name is mandatory, if Asset is selected it should be present in the system.
  • Start date: this is the first time when the PM (Schedule – Preventive Maintenance or Housekeeping, etc.)  will be executed, rest the recurrence will be calculated on frequency from this date onwards
  • For Frequency, available inputs are as follows
    • W: Weekly
    • M: Monthly
    • Q: Quarterly (every 3 months)
    • H: Half Yearly (every 6 months)
    • Y: Yearly
  • Emails: Separated via comma ‘,’ By default, the emails will be sent before 2 days of work creation. You can change it after import by selecting the schedule inside pm.
  • Instructions: Separated by new line, each instruction will be added under
    PM which will be cloned while creating the workorders on frequency.

Note: Ensure that if Asset Name is present in sheet it must exist under Asset section.

 


 

Step 1: Starting import

Goto PM

On top select 2nd option to import

Import wizard will appear, here drag the file or choose it by selecting it from the file explorer and press continue

 


 

Step 2: Importing options

After selecting the file, click on next option and select ‘+ Add new’ option

Now Map the excel fields from the system fields and once done click ‘Upload’ option in the top right of the popup

 


 

Step 3: View Imported data

After Successful import, you can close the importing wizard, and the PM along with schedules will be shown as below with all the details as in the excel sheet.
